Tips For Setting Up an MS Exchange Server

Here are some tips to help you keep your MS exchange server running at optimum levels

1) Run the EXBPA every so often. This is a software program that does a complete analysis. It will look at your program configurations and compare them to the recommended standards. I would do this about every month or every other month. Most usually do this as soon as they get new tool or program. However, it shouldn’t stop there. It will show you what needs to be updated and configured to a more efficient capacity. I recommend this to any business owner or for those who use their computers for personal use.

2) Get a database maintenance schedule in check. Every time you send, delete or respond to nay email or message, your system is bombarded with stuff. The fragmentation is off kilter. I recommend having this done every night. You can have it done while you’re sleeping. This will clean everything out. It will purge everything in your mailboxes that is not needed.

3) Run an integrity check. This should be done on a quarterly time schedule. It lets you know if there are any issues in the databases. If any are found, your system will work to get rid of them.

4) Check for free space. When you get rid of certain things in the mailbox, it’s because you want to have extra space. However, if you don’t actually shrink the free space, this won’t get rid of your problem. You will still have that unnecessary space in there. Once you shrink certain message folders, you need to perform a defragmentation. The defrag will get rid of that junk for good. Free space cane be a good thing. 5) Get in the habit of testing backups. Be sure they are all 100% genuine. Your system advertises free backups, so give them a look. This should be done regularly, at least twice a month.

6) Check on your system’s growth. When you have a backup in your system, document it. Check how long it took to get that way. Find out the size of all databases. This way you can determine what is needed. You may also want to monitor your server for uptime/downtime. How Do Email Servers Work?

Most people send e-mails without ever thinking about how their electronic messages are delivered between their own computers and their recipient’s. However, there is some technology behind the magic.

An e-mail server, sometimes referred to as just a mail server, is a server dedicated to handling and delivering e-mail messages over a network, usually the Internet. An e-mail server can receive e-mails from multiple client computers and then deliver the messages to other e-mail servers and other client computers. A client computer is typically a computer where e-mails are read, such as the computer at home or at the office. A Smartphone with e-mail capability is also a client computer.

When the “Send” button is clicked the e-mail program connects to a server on the network known as a SMTP server, which is an acronym for Simple Mail Transfer Protocol. The SMTP protocol delivers mail to and from clients between different mail servers. When the recipient downloads, or opens, an e-mail the e-mail program typically connects to a server on the Internet known as a POP3 server, which is the common acronym for Post Office Protocol 3.

When a new e-mail account is established the user must usually enter account information and specify the name of the server being used for outgoing e-mail messages as well as the name of the server used for incoming e-mail. This is how SMTP and POP3 servers communicate. However, when users set up e-mail accounts with services like Hotmail, Gmail or their local Internet service provider, the server designations are already set up for them. SMTP and POP3 servers can be located anywhere in the world, but are typically located in same country as the client computer.

Before the e-mail server that the sender’s e-mail program communicates with knows exactly where to send the message the server will examine the e-mail address of the recipient. The mail server first extracts the domain name, found after the “@” symbol, of the recipient’s e-mail address and uses the domain to locate the POP3 server that the recipient’s computer communicates with. For example, if the e-mail address is jsmith@xyz.com, the domain name is xyz.com. Once the server is identified the e-mail message is sent to the server. The next time the recipient logs in to their e-mail account the email is delivered to their inbox. Typically, the entire process takes just a few seconds. Configuring an Email Client

Configuring an email client can be easily done by simply following a few simple rules. It always helps if you have in depth knowledge of computers and their operating systems. However, even if you only have general knowledge of computers you should still be able to set up and configure an email client without any real problems.

Prior to configuring the email client it is critical that you know the email server information. Without knowing or having specific information about the email server it will prove quite difficult to configure an email client successfully. In addition, you must also have knowledge of the proper settings for the email protocol prior to configuration. It helps a great deal to have knowledge of POP-3 and IMAP.

Finally, in order to successfully complete the email configuration you must have an email account name as well as a server address and domain name. This information is fairly easy to create during the configuring process. Most importantly, you must have an email password in order to access any account associated with configuring an email client. Passwords can normally be changed at any time. It is actually recommended that you change your chosen passwords every so often for your own protection. How you accomplish this is up to you, but either way you should make sure that you’re on top of the uptime/downtime of your exchange server.

User name and password must be authenticated in order to be able to send and receive email. Once the authentication process is complete you should have no problem with sending and receiving emails which includes any attachments or documents.
